ISH LEADS SUCCESSFUL ELECTRONIC DOCUMENT MANAGEMENT INITIATIVES FOR
BOCA RATON COMMUNITY HOSPITAL AND FREMONT RIDEOUT HEALTH GROUP
Initiatives support improved overall operational excellence and customer service

FAIRFIELD, NJ: ISH, Inc. announced today the successful completion of two Electronic Document Management initiatives at Boca Raton Community Hospital in Florida and Fremont Rideout Health Group in California.

The project at Boca Raton Community Hospital consisted of implementing an Electronic Document Management Strategy utilizing McKesson Horizon Patient Folder® and Horizon Business Folder. The first phase consisted of a Discovery Process to analyze current processes, decide on the project objectives, deliverables and an overall approach to the implementation of McKesson’s Horizon Patient Folder, Horizon Business Folder, McKesson’s Horizon Image Link Engine and FormFast. This phase also included an assessment of the organization’s readiness for change.

In Phase Two, BRCH prepared for the implementation of Horizon Patient Folder, implementing FormFast. Forms redesign included standardization of form templates with encounter and document bar codes. HPF reads both bar codes when the chart is scanned and indexed.

Phase Three included the implementation of McKesson’s Image Link Engine, which allowed Patient Access to scan registration, clinical and financial documents at the time of registration. The documents reside in the Horizon Patient Folder database, and can be easily accessed through STAR and Receivables Workstation. This implementation was coupled with Horizon Business Folder.

Phase Four consisted of the implementation of Horizon Patient Folder.

Major resulting benefits included increased physician and end user satisfaction, easy access to critical information for patient care, easy physician access to outstanding chart deficiencies, secure on-line access from home, office or hospital, transformation of the HIM department due to workflow automation benefits, improved compliance, elimination of lost charts, elimination of time consuming manual processes, expedition of the registration/admission process, and a redesigned floor plan in HIM department to increase efficiency of paper flow. The hospital looks forward to a reduction in Accounts Receivable days and increased revenue due to easy access.

RoseAnn Webb, RHIA, LHRM, Director of HIM and Privacy Officer for Boca Raton stated in reference to Deborah Caruselle, the ISH Project Manager for the implementation, “She surpassed my expectations of what a consultant can accomplish. She worked long and hard on our project, and made deadlines we never thought we would accomplish including the cold feeds needed to eliminate much of the scanning required. She had the team focused and organized and we were ahead of schedule with several of the cold feeds.”

Fremont Rideout Health Group was seeking more than an installation of document imaging software. They sought solutions that would support their overall operational requirements, business objectives and strategic plans designed to promote operational excellence and customer service. The organization chose McKesson Horizon Patient Folder® and Horizon Business Folder®, and turned to ISH to provide hands-on leadership in a Discovery process to provide the building blocks of a successful implementation. Utilizing their proprietary SMARTstart methodology, ISH performed a detailed workflow analysis of FRHG activities involving Health Information Management, Patient Access, Clinical departments, Patient Financial Services and other components related to the Clinical Electronic Record. Recommendations for moving forward included the establishment of a team of key stakeholders, the formulation of effective change management strategies, and a plan for strategic business process redesign.
